Recently many issues have been brought to our attention with America Online (AOL) and sending e-mail. We want to assure you that we are taking every necessary precaution possible to protect our mail services from being blocked or black listed but we need your help to!

Within the last couple of months clients have been occasionally having trouble sending e-mail to AOL customers. If you received a Mail Error Handler ( 421 SERVICE NOT AVAILABLE ) when sending e-mails to AOL. We have narrowed down a few possibilities causing this issue.

We have scanned our servers up and down and we discovered many clients have mail forwarding setup to re-route email from our server to there AOL accounts. Although we don’t have any problems forwarding your mail we do however have problems when you reported the forwarded mail as spam when it was sent to your GDIS account and sent over to your AOL!

Because of this issue we are no longer allowing mail forwarding to AOL accounts. This is the only way to protect our clients and mail services from have to be inconvenienced sending mail to AOL. We apologize for any inconvenience this may have caused you but we hope you understand our commitment to quality service for all our customers.

Furthermore, all e-mail policies will be strictly enforcing including:

• Sending out mass mailings to e-mail addresses that haven’t chosen to receive them
• Sending SPAM or Business promotional mail to any customers including AOL
• Abusing e-mail in anyway (spam, inappropriate, promotional and mass mailings)

We will be scanning our outgoing servers daily for any mail sent out in bulk or mail sent to AOL. Anyone who contravenes will endure the following consequences:

First offence:
Your e-mail will be suspended for three (3) days

Second offence:
Your e-mail will be suspended for one week (7 days)

Third offence:
Your email account will be shut down permanently

If the user continues to abuse the email services then all e-mail accounts and web services will be permanently shut down.

Although, we truly don’t believe we will have to enforce any of these policies we do want to make it clear that we will not tolerate any email spamming and inappropriate e-mailings.
